TERMS AND CONDITIONS

BOOKING TYPES AND DEFINITIONS

  • Single hires: less than 40 hours in a 7-day period.

  • Block hires: 40 hours or more in a 7-day period.

  • Regular hires: recurring on a weekly or monthly basis. 

  • Provisional hires: dates that have been ‘held/pencilled’ - unconfirmed

  • Confirmed hires: bookings that are going ahead, have been paid for, and have received written confirmation from ODAC.

 

HOURS AND ACCESS

  • Our opening hours are 9am - 10pm Mon-Thurs; 9am - 6pm Fri-Sat; 10am - 6pm on Sun.

  • The times you have booked are your total access times. Therefore, please ensure that your booking slot covers the time it will take for you to get in and set up, then to pack the room down and exit the studio.

  • Users are responsible for their own timekeeping and will be relied upon to exit their studio at the allotted time

  • Adding additional time to a confirmed booking on the day of the event is subject to availability and is not guaranteed.

 

EQUIPMENT & ROOM USAGE

  • Open flames and smoke machines/hazers are not permitted throughout the centre, as they agitate the very sensitive smoke detectors (this includes birthday cake candles and tealights).  The use of steamers should be checked with Reception in advance in case these also trigger the alarm.

  • Use of amplified/percussive instruments requires advance permission from management and should be sought at time of booking.

  • Where necessary, ODAC reserves the right to move bookings between like-for-like sized spaces as required. It is not possible to reserve a specific studio (with the exception of the Premium Spaces, Office Spaces, and Casting Studios). 

  • We are a dry hire centre and do not offer room setups. 

  • Equipment requested in advance will be placed in the room for the user’s convenience, but not set up by a member of the ODAC team.

  • There are a number of chairs and tables provided in each room. These should not be removed without prior consultation with the ODAC team.  Additional tables and chairs can be requested at the time of making the booking.

  • Equipment can only be guaranteed if requested in advance and is subject to availability. 

  • Damage to equipment or facilities should be reported to Reception in the first instance, and compensation may be sought as appropriate.

CATERING & CLEANLINESS

  • Outside catering may be brought into the building, though we respectfully request consideration of other users when making your catering choices, as smells can permeate the entire building.

  • Use of the ODAC kitchen is available to all users of the centre, including the fridge, microwave, crockery and cutlery.  Hot water urns can be booked in advance, and are subject to availability.  All items must be returned to the kitchen and properly cleaned or loaded into the dishwasher.

  • Our cleaning team will take care of removing all rubbish from the studios. Should you require additional bin liners during your session, please do not hesitate to let us know.

  • Any issues with the cleanliness of the centre studios or any of our facilities should be reported to Reception in the first instance, so we can rectify this.

PROVISIONAL & CONFIRMED BOOKINGS

  • Where applicable, ODAC is happy to take Provisional or ‘pencilled’ hires to secure specific dates, while plans are finalised.

  • We are happy to hold provisional/’pencils’ for an amount of time dependent on the type of booking:

    • Single Hires: 48 hours

    • Regular Hires: Seven days

    • Block Hires: 14 days

  • After this time, we ask that you confirm or release your booking with us.  

  • We reserve the right to follow up in advance of this, in the event that we have another hirer looking to confirm dates you have provisionally held.  i.e. if ODAC receives a separate enquiry for a date that is provisionally held, we will endeavour to contact the provisional hirer and offer immediate confirmation (with payment) before offering these dates to any other potential hirers. In the event that we are unable to make contact with the provisional hirer, pencilled dates may be released.

  • ‘Single hires’ are confirmed when an invoice has been raised and payment has been scheduled.

  • ‘Block hires’ are confirmed when an invoice has been raised and the deposit payment has been received.

  • Invoices must be paid in line with the payment terms below.

PAYMENT TERMS

  • Invoices must be paid within 30 days of receipt, or in advance of studio usage - whichever is soonest. 

  • Payments can be made by bank transfer or credit/debit card either over the phone or in the centre.

  • ‘Block hires’ require a 50% deposit to confirm the booking, with the remaining 50% to be paid 4 weeks in advance of the hire dates.

  • Monthly payment plans can be arranged for ‘Regular hires’.

STORAGE AND LIABILITY

  • Storage on site is very limited and discretionary upon request.  Any items stored in the locked shared storage area are left at the owner’s own risk.

  • All group leaders are responsible for their own attendees, and should support the Diorama team in the exit of their group in the event of an evacuation.

  • All groups must have their own Public Liability Insurance, and ODAC reserves the right to request a certificate of proof.

  • Group leaders are responsible for the health and safety of their members.

CANCELLATIONS

If you need to cancel a booking, notice must be given in writing. Refunds and/or credit are subject to the following schedule:

  • If cancelled more than 4 weeks in advance of the hire dates, a full refund or credit note may be issued.

  • If cancelled within 3 or 4 weeks in advance of the hire dates, a 50% credit note may be issued, but refunds will not be possible.

  • If cancelled within/less than 2 weeks of the start of the hire, no refund or credit note will be possible.

  • ODAC will always endeavour to fulfill client obligations, but reserves the right to cancel any hire or refuse entry. 

  • ODAC reserves the right to halt or cancel any booking deemed to be unsuitable for our centre, offensive or unsafe.

  • Moving confirmed bookings to an alternative date is at the discretion of ODAC Management.

UNDER 18s

  • Please note that all Under 18s must be accompanied by a responsible adult at all times when inside the centre.
